Privacy Policy

The Encampment Staff Portal is an internal management tool used exclusively by adult cadre staff during encampment activities. It is not a public-facing app and is not intended for use by cadets or the general public.

This app is operated by the staff of the encampment that licenses it. It is an independently operated tool provided by Encampment.io and is not affiliated with, endorsed by, or operated by any government agency or national youth organization.

We collect only what is needed to run the encampment:

• Full name and email address
• Member ID and rank
• Role, position, and flight assignment
• Attendance records and duty logs
• Messages sent within the in-app messaging system
• Device push notification token (to deliver operational alerts)
• GPS location — only if you enable it, and only during active encampment operations for map and situational awareness features

We do not collect browsing history, contacts, photos, or any data unrelated to encampment operations.

Your data is used solely to operate the encampment:

• Managing staff rosters, roles, and assignments
• Tracking attendance and duty schedules
• Coordinating staff communication via in-app messaging
• Sending push notifications for operational announcements and alerts
• Displaying staff locations on the operational map (if location is enabled)
• Generating encampment reports for administrative purposes

Your data is never used for advertising or marketing.

We use push notifications to deliver operational messages such as formation announcements, schedule changes, and emergency alerts. You can disable push notifications at any time in your iPhone Settings. Disabling them will not affect your ability to use the app.

Location access is optional. If you grant permission, your GPS coordinates are shared with other staff on the operational map during the encampment. Location data is not stored after your session ends and is not used for any purpose beyond real-time situational awareness.

You can revoke location permission at any time in Settings → Privacy & Security → Location Services → Encampment.

All data is stored in Supabase, a managed database platform hosted on Amazon Web Services (AWS) infrastructure in the United States. Data is encrypted in transit (HTTPS/TLS) and at rest. Access is restricted by role — staff can only see data relevant to their assignment.

We do not sell, rent, or share your personal information with third parties for commercial purposes. Data may be accessed by:

• Authorized wing administrators and encampment commanders
• Supabase and AWS as infrastructure providers, under their respective data processing agreements
• The sponsoring organization, if required for compliance, safety, or audit purposes

No data is shared with advertisers, data brokers, or any unrelated third party.

While this portal is privately operated and not a federal system of records, we are committed to protecting your information in a manner consistent with the principles of the Privacy Act of 1974 (5 U.S.C. § 552a). Your data is collected only for the purpose stated, access is limited to authorized personnel, and you may request to review or correct information held about you.

You may request access to, correction of, or deletion of your personal data at any time. To do so, contact your wing administrator or the encampment commander. Requests will be processed within a reasonable timeframe consistent with applicable records retention policies.

Account removal will delete your profile, role assignment, and message history from the active database. Records required for audit or compliance purposes may be retained in accordance with the sponsoring organization’s policy.

This app is intended for users 13 and older. By creating an account, you confirm that you are at least 13 years of age. We do not knowingly collect personal information from anyone under 13. If you believe an under-13 user has been granted access, contact us at trichtercap@gmail.com and we will remove their account promptly.

If we make material changes to this policy, we will update the date at the top of this page. Continued use of the app after changes are posted constitutes acceptance of the updated policy.
